Administrative Assistant

Reports To: Executive Director
Deadline: Open Until Filled
Pay: $20/hr
Hours: 19 hrs/week

Otis Library in Norwich, Connecticut, is seeking an Administrative Assistant to support the administrative staff. This is a 19-hour per week, year-round position with paid leave. This position works Mondays, Tuesdays, Thursdays, and Fridays, with flexibility for occasional evenings and events.

Responsibilities: The Administrative Assistant will support the mission of Otis Library by providing secretarial assistance to the administrative staff. These responsibilities include, but are not limited to:

  • Screening calls, directing visitors, distributing mail, collecting dress down day funds, and monitoring email accounts
  • Composing, transcribing, and typing general correspondence
  • Creating and maintaining central filing system
  • Assisting Director of Development with annual appeal, fundraising campaigns, events, and other initiatives
  • Receiving and recording fees and donations; drafting donor communications, acknowledgements, and receipts
  • Maintaining fundraising database
  • Assisting Business Manager with accounts payable functions, including deposits
  • Assisting with and supporting marketing initiatives for the Library
  • Developing and maintaining database of programming contacts
  • Preparing materials and technology for and attending meetings of Board of Trustees; recording and transcribing minutes
  • Attending committee meetings as requested by the Executive Director; recording and transcribing minutes
  • Ordering supplies and maintaining office supply inventory
  • Managing meeting space reservations and technology
  • Attending webinars, seminars, workshops and other training opportunities to remain current in field
  • Working at service desks as needed

Qualifications: The skills and knowledge required for this position would generally be acquired with a Certificate or Associate’s Degree in Business Administration.  A combination of other education and applicable experience may be considered.  Bilingual abilities are desirable but not required.
